Why can’t I see my units in Moodle (I am a unit convener)?

Moodle is linked to SAMIS. This means that courses are automatically created in Moodle when the “Module tutor” for a unit on SAMIS (normally unit convener) logs in.

Check with the person in your department who adds data to SAMIS (normally the departmental administrator) that the “Module tutor” field in SAMIS for the units you require is populated with the correct unit convener.

When the “Module tutor” logs in to Moodle his/her units for the current semester will be created. Initially they will appear greyed out, which means unavailable to students. This can be changed by going in to the course settings in the administration block (normally on the left side of a Moodle course – see Figure 2 below), and under “availability” selecting “This course is available to students”.

Units for future semesters can be created by going into the Staff area and using the “Create your courses” wizard.

Why can’t I see any students in my course?

Students won’t appear in the course until they have logged in to Moodle.
If the students are on SAMIS for the relevant unit they will automatically see the course as soon as they have filled in their profile, and they will then appear as participants.
If you wish to pre-populate your course with student data from SAMIS before the students have logged in you can use the “Course(SAMIS) Tools” block. (see attachment)

Why can I still see last semester’s students on my course?

Moodle checks data against SAMIS when a student logs in. So if the default automated system is used, last semester’s students will be removed from units they have finished as soon as they log in this semester, and new students will be added.

If you wish you can manually unenrol old students as follows:

  • In the course administration menu click on “Students”.
  • Select the students you wish to unenrol in the left hand (enrolled) column
  • Click on the right pointing arrow to remove the students from the enrolled column.

When is the enrolment key used?

It is important to set an enrolment key for your course (in course settings) as a course without a key can be accessed by anyone (with a BUCS login).
However, it is only necessary for students to use the enrolment key if the course is not on SAMIS.

What is the enrolment key?

The enrolment key is a password that students enter the first time they try to access a course. However, if the course is on SAMIS then this is not required, as Moodle checks against SAMIS to see which students are enrolled on the particular unit.
If however a Moodle course is NOT related to a SAMIS unit then staff can give students the enrolment key which allows them access to the course.
Students enrolled in this way will need to be unenrolled manually.
